Effective and last reviewed: 27 September 2026. This policy explains how cancellations, postponements and refunds are handled for safari packages, accommodation, transfers, excursions and tailor-made travel arranged by Olengugih Safaris. The exact terms shown on your confirmed quotation can be stricter where a supplier requires non-refundable payment.
1. How to cancel
A cancellation must be sent to Olengugih Safaris in writing by email, website message or another written channel we can retain. The effective cancellation date is the date we receive the notice. If only one traveller in a group cancels, the price for the remaining travellers may change because rooming, transport or shared costs can be different.
2. Standard cancellation schedule
Unless a quotation, ticket, permit or supplier condition states a stricter rule, the following schedule is the general policy for land arrangements:

3. Non-refundable supplier items
Some services become non-refundable before the general schedule above. Examples can include issued domestic or international air tickets, special rail tickets, gorilla or other limited permits, park or conservancy fees already paid, certain accommodation deposits, event tickets and special activities. Where a supplier keeps those funds, Olengugih Safaris cannot refund money that has not been recovered from the supplier unless applicable law requires otherwise.
4. Day tours, excursions and instant bookings
Short-notice day tours and excursions can have tighter cancellation windows because vehicles, guides, meals, tickets and entry fees are reserved specifically for the booked date. The product page, checkout, quotation or payment confirmation may therefore state a separate cancellation rule. A clearly disclosed product-specific rule takes priority over the general land-arrangement schedule for that service.
5. Changes and postponements requested by the traveller
If you ask to move dates rather than cancel, we will first try to transfer the booking. A postponement is subject to supplier approval, new-season pricing and availability. Where a supplier charges a cancellation or amendment fee, that cost remains payable. If the requested new dates cannot be secured, the change may be treated as a cancellation under this policy.
6. Name changes and transfer of a booking
A booking may only be transferred to another traveller where the relevant suppliers allow it. Flights, permits and tickets can be non-transferable. Any reissue, fare difference, administration or supplier fee must be paid before the change is confirmed.
7. Late arrival, missed services and no-shows
If a traveller arrives late, misses a transfer, fails to appear for a service or voluntarily leaves a trip early, unused services are normally non-refundable because suppliers have already reserved capacity. We will assist with replacement arrangements where possible, but any new transport, accommodation or activity cost is the traveller’s responsibility unless the disruption was caused by Olengugih Safaris or applicable law provides another remedy.
8. Cancellation or material change by Olengugih Safaris
If Olengugih Safaris cancels a confirmed trip for an operational reason within our reasonable control and cannot provide a suitable alternative, the traveller may choose an available equivalent alternative or a refund for the services cancelled by us. If an alternative is lower in value, an appropriate price difference will be addressed. This paragraph does not alter the force-majeure rules below.
9. Force majeure and events outside reasonable control
Where travel is prevented or materially disrupted by events beyond reasonable control, such as severe weather, natural disaster, government action, border closure, epidemic, civil unrest, strikes or major transport disruption, we will work with suppliers to recover funds, move dates or arrange credit. Any refund is limited to amounts actually recoverable after unavoidable supplier and transaction charges, subject to applicable law. Travel insurance is especially important for these risks.
10. Supplier cancellation
If a hotel, flight, activity or other supplier cancels a service, we will seek a replacement, credit or refund from that supplier. Where a comparable replacement is accepted, the booking can continue. Where a supplier returns money to Olengugih Safaris for a cancelled service and no replacement is used, the recoverable amount will be passed back to the traveller after any legitimate offset already explained in the booking terms.
11. How refunds are calculated
Refunds are calculated from money actually received by Olengugih Safaris, less the cancellation amount that applies, any non-refundable supplier payment, ticket or permit cost, and any third-party payment charge that cannot be recovered. Currency-conversion differences created by banks or card providers are outside our control. Refunds are normally made through the original payment method where practical.
12. Refund processing time
We aim to confirm the refundable amount as soon as possible. Complex safari bookings may require us to wait for several suppliers to confirm what they will return. Once the refundable amount is confirmed and received where supplier recovery is required, we aim to process the refund within 30 days. Banking networks and card processors can take additional time to display the funds.
13. Chargebacks and payment disputes
Please contact Olengugih Safaris before starting a chargeback where possible. A direct discussion often allows us to show the supplier cancellation position, recover funds or correct a payment issue faster. Nothing in this section removes a legal right to dispute an unauthorized or incorrectly processed transaction.
14. Travel insurance
We strongly recommend travel insurance that includes cancellation, interruption, medical emergencies and evacuation. A cancellation that is not refundable by the travel suppliers may still be claimable under an appropriate insurance policy, depending on the reason and the insurer’s terms.
15. Special booking conditions
Your quotation may contain a special cancellation rule for a particular lodge, airline, permit, high-season booking, group departure or other service. Where that special rule was disclosed before payment, it applies to the affected service. If no special rule is stated, this general policy applies together with the Terms & Conditions.
