Effective and last reviewed: 27 September 2026. These Terms & Conditions apply to safari enquiries, quotations, confirmed bookings, accommodation arrangements, transfers, excursions, group joining trips and tailor-made travel arranged by Olengugih Safaris. They should be read together with the quotation, invoice, itinerary and any special supplier conditions disclosed for your booking.
1. Your booking contract
A quotation is an invitation to book and is not a confirmed reservation by itself. A booking becomes confirmed when Olengugih Safaris accepts the booking in writing and receives the deposit, full payment or other amount stated in the quotation or invoice. Where a hotel, airline, park, conservancy, activity provider or other supplier has its own booking condition, that condition may also apply to the relevant part of the trip if it was disclosed before payment.
2. Quotations, availability and validity
Safari quotations are based on the information available when they are prepared. Accommodation, vehicles, guides, flights, permits and activities remain subject to availability until they are actually confirmed. Every quotation should state a validity date. If you confirm after that date, Olengugih Safaris may need to recheck availability and price before accepting payment. Requested changes to dates, route, accommodation, rooming, traveller numbers, transport, activities or meal plans may change the price.
3. Prices, currency, taxes and exchange rates
Prices are shown in the currency stated on the quotation or product page. Unless expressly stated otherwise, the final confirmed quotation governs the amount payable. Government taxes, park fees, conservancy fees, fuel charges, airport charges, supplier levies and exchange rates can change after a quotation is issued. If a mandatory charge changes before travel and Olengugih Safaris cannot reasonably absorb it, the traveller will be advised before the affected service is confirmed or, where legally permitted, before the balance becomes due. Bank, card, mobile-money and foreign-exchange charges imposed by a payment provider or financial institution are not controlled by Olengugih Safaris.
4. Deposits and balance payments
The required deposit and final payment date will be stated in the quotation or invoice. Some bookings require a higher deposit or full prepayment because suppliers demand immediate or non-refundable payment. If the required payment is not received by the stated deadline, held space may be released and the booking may be treated as cancelled. Any cancellation consequence will be handled under the Refund & Cancellation Policy and any disclosed supplier terms.
5. Traveller information and names
You are responsible for providing complete and accurate traveller information. Names used for flights, permits and other ticketed services should match the relevant passport or identification document. Children’s ages must be accurate because accommodation, park fees, activities, transport seating and eligibility rules can depend on age. Costs caused by incorrect names, ages, document details or late information may be charged to the traveller where the supplier imposes those costs.
6. Passports, visas, permits and entry requirements
Each traveller is responsible for confirming passport validity, visas, immigration requirements, vaccination or health documentation and transit rules for every country on the itinerary. Olengugih Safaris may provide general travel guidance, but immigration and entry decisions are made by the relevant authorities. A traveller who cannot travel because required documents are missing or invalid remains subject to the applicable cancellation terms.
7. Health, fitness, accessibility and safety
Tell us before booking about medical, mobility, dietary or accessibility requirements that may affect the safari. Some wildlife, hiking, climbing, water, riding or adventure activities have age, health, fitness or safety restrictions. Guides and suppliers may decline participation where they reasonably believe a traveller’s safety or the safety of others would be at risk. Wildlife sightings are natural and cannot be guaranteed.
8. Travel insurance
Comprehensive travel insurance is strongly recommended from the time the booking is confirmed. Suitable cover should normally include trip cancellation, interruption, medical treatment, emergency evacuation, baggage and the activities included in the itinerary. Where a traveller chooses to travel without adequate insurance, costs that would normally be recoverable from an insurer remain the traveller’s responsibility.
9. Changes requested by the traveller
We will try to accommodate reasonable changes requested after confirmation, but changes are not guaranteed. Supplier amendment fees, fare differences, additional park fees, re-ticketing charges and changes in accommodation or transport price may apply. A material date change or transfer to another traveller can be treated as a cancellation and new booking where suppliers do not permit the change.
10. Itinerary changes and substitutions
Safari travel can be affected by weather, road conditions, wildlife movement, park rules, security advice, flight schedules, supplier availability and other operational factors. Olengugih Safaris may make reasonable changes to the order of activities, routes, accommodation or timing when necessary for safety, availability or practical delivery of the trip. Where a confirmed accommodation becomes unavailable, we will normally seek a reasonably comparable alternative. A material reduction in value caused by a change within our control will be handled fairly in the circumstances.
11. Group joining and shared services
Group joining safaris operate on shared schedules, vehicles or services. Travellers are expected to respect agreed departure times and reasonable group conduct. Delays caused by an individual traveller may not be recoverable where the group must continue. Private deviations from a shared programme may require additional payment and are subject to availability.
12. Third-party suppliers
Olengugih Safaris arranges travel using independent suppliers such as hotels, lodges, airlines, transfer companies, activity operators, guides and protected-area authorities. Those suppliers are responsible for delivering their own services to the standard contracted. We will assist with legitimate service problems, but we cannot promise that a supplier will never change a schedule, close a facility or impose a rule outside our control. Nothing in these terms excludes liability that cannot legally be excluded.
13. Force majeure and events beyond reasonable control
Events such as severe weather, natural disasters, epidemics, government restrictions, border closures, civil unrest, strikes, transport disruption or other events beyond reasonable control may require a trip to be changed, postponed or cancelled. We will work with travellers and suppliers to find the most practical solution. Refunds or credits in these circumstances depend on the money that can actually be recovered from suppliers, any mandatory third-party charges and applicable law.
14. Traveller conduct
Travellers must follow reasonable instructions from guides, rangers, drivers, accommodation staff and authorities. Harassment, abuse, illegal conduct, deliberate damage, serious disruption or conduct that endangers people, wildlife or property may result in removal from a service without refund, subject to applicable law. Responsible wildlife viewing rules and protected-area regulations must be respected.
15. Cancellations, refunds and unused services
Cancellation rules are explained in the Refund & Cancellation Policy. No refund is normally available for voluntarily unused accommodation, meals, transfers, park entries, activities or other services after the trip has started, unless the supplier refunds that amount or applicable law requires otherwise. No-shows and late arrivals can result in services being lost.
16. Complaints during travel
If a problem arises during the trip, tell the guide, supplier or Olengugih Safaris as soon as reasonably possible so there is an opportunity to correct it. If the issue is not resolved, submit the complaint in writing with relevant evidence promptly after travel. Waiting until the trip has ended can make it harder to investigate or obtain a supplier remedy.
17. Website information and intellectual property
Website descriptions, photographs, maps, rates and itineraries are intended to help with travel planning. They can change and do not replace the final confirmed quotation. Website text, branding and original media are protected by applicable intellectual-property law. Third-party trademarks and media remain the property of their respective owners.
18. Privacy and cookies
Personal data is handled under the Privacy Policy. Website cookies and optional analytics are explained in the Cookie Policy. Booking information may be shared with suppliers where reasonably necessary to arrange the travel services requested.
19. Governing law and disputes
These general terms are governed by the laws of Kenya unless mandatory consumer law in another jurisdiction applies and cannot lawfully be excluded. We encourage travellers to contact Olengugih Safaris first so a concern can be addressed directly. If a dispute cannot be resolved amicably, the parties may use any lawful dispute-resolution or court process available to them.
20. Special conditions and priority of documents
Your confirmed quotation, invoice, itinerary and any clearly disclosed special condition form part of the booking agreement. Where a special condition is more specific than this general page, the specific condition applies to that service. If any provision is found unenforceable, the remaining provisions continue to apply to the extent permitted by law.
